Before You Fly: Documents for International Private Jet Charter

Private aviation offers flexibility, but border requirements still apply. A practical guide to passports, visas, passenger details and the checks that help international journeys run smoothly.

Start with Each Traveller’s Documents

Private charter does not remove immigration, customs or security requirements. Before committing to a journey, review the passport, nationality and residency status of every traveller. Members of the same household may face different entry rules, even when flying together.

Check passport validity against the destination’s requirements, including any rules on blank pages. Where relevant, confirm residence permit validity and any permission needed to leave or return to the country of residence. Names supplied for the booking should match the travel documents that will be presented.

Confirm Entry Rights, Not Just a Visa

Depending on the traveller and destination, entry may require a visa, an electronic travel authorisation or supporting documents. A residence permit issued by a Gulf country does not automatically grant entry elsewhere. Visa-on-arrival eligibility should be checked for the individual traveller and the intended arrival airport.

Explain the purpose of the visit clearly: tourism, business meetings and paid work may fall under different rules. Confirm permitted length of stay and whether a visa allows single or multiple entries. Use official immigration or consular sources for current requirements; booking a charter is not a guarantee of admission.

Check the Airport and Any Intermediate Stops

Not every airport can process international arrivals at every hour. Ask your charter coordinator to confirm that the proposed airport can accommodate the flight and provide the required border services at the planned arrival time. Access through a private terminal does not mean border checks are waived.

If a technical or fuel stop is possible, ask whether passengers will remain on board, enter a transit area or clear immigration. Transit requirements depend on nationality, routing and local procedures. A diversion may also change what is needed, so raise any visa restrictions before the itinerary is finalised.

Provide Accurate Details Through a Secure Channel

The licensed operator needs accurate passenger information to prepare the manifest and meet applicable reporting requirements. Supply requested details promptly, and ask which documents are necessary, why copies are needed and how they should be sent securely. Avoid sharing passport copies in broad group chats.

Tell your coordinator immediately if a passenger changes, a passport is renewed or a name has been entered incorrectly. A last-minute substitution is not simply a seating change: it may require revised passenger reporting and fresh document checks. EasyTrip arranges charter flights through licensed operators and can coordinate these requests with the operator handling your journey.

Keep a Departure-Ready Document Pack

Carry original travel documents and any supporting paperwork required for your journey. Keep accessible copies of authorisations, accommodation details and onward or return travel arrangements where relevant. Digital copies are useful backups, but they should not be assumed to replace originals or required printed documents.

Before departure, reconfirm the meeting point, check-in arrangements and document requirements with your coordinator. Also check customs rules for medicines, valuables and restricted goods; a prescription alone may not satisfy every country’s medication import rules. If an approval remains pending, flag it early and clarify the booking’s change or cancellation terms rather than assuming it will arrive in time.
