Booking & Service Terms
Last updated: 9 September 2026. By using our website or submitting a booking request, you confirm that you have read and accepted these terms.
1. Nature of EasyTrip's services
EasyTrip acts as an intermediary that coordinates and arranges luxury travel services, including:
- Private flights.
- Ground transportation.
- Hotel and accommodation bookings.
- Meet and assist services.
- Concierge services and private experiences.
- Any supporting travel services agreed upon.
Unless expressly stated otherwise, EasyTrip does not own aircraft and does not operate flights itself. Flights are performed by independent air operators licensed by the competent authorities.
The air operator holds full operational responsibility for the aircraft, crew, flight safety and the conduct of the flight under applicable regulations.
2. Booking request
Sending a request through the website, by email or via messaging channels is not a confirmed booking and does not oblige EasyTrip or the service provider to provide the flight. A booking is confirmed only after:
- A final written offer is issued.
- The client accepts the offer and its terms.
- The required amount is received in full, or the agreed deposit.
- EasyTrip issues the booking confirmation.
All prices, aircraft and services remain subject to availability until confirmation and payment are complete.
3. Quotations
Pricing is based on the trip information provided by the client, including destination, date, timing, number of passengers, baggage and requested services. Depending on what the offer states, it may include:
- Aircraft and crew cost.
- Airport and handling fees.
- Basic operational charges.
- Additional services set out in the offer.
And unless stated otherwise, it may not include:
- Route changes or added stops.
- Waiting time or additional crew overnight costs.
- De-icing or seasonal charges.
- Internet and special catering.
- Transport, hotels and visas.
- New taxes or government charges.
- Costs arising from client-requested changes.
EasyTrip may adjust the price before booking confirmation if trip details, operational rates, government charges or aircraft availability change.
4. Payment
The currency, payment method and deadline are stated in the trip offer. The aircraft is not finally reserved until the required amount is received. Bank charges, transfer fees and currency differences are borne by the client unless the offer states otherwise.
EasyTrip may cancel the request if payment is not received within the stated period, and is not responsible for loss of aircraft availability while awaiting payment.
5. Cancellation and refunds
Cancellation charges vary by operator, aircraft type, route, timing and the services booked. The cancellation policy for each trip is stated clearly in the quotation or booking confirmation and is the policy that applies to that booking. Charges may include:
- Non-refundable operator costs.
- Aircraft or service cancellation fees.
- Aircraft repositioning fees.
- Hotel, transport and catering bookings.
- Transfer and payment fees.
- Agreed arrangement or brokerage fees.
No refund is issued until it has been recovered from the operator or service provider, and after deduction of due fees and expenses.
If the client or a passenger does not appear at the agreed time, the flight may be treated as cancelled by the client and the full cancellation charges in the booking confirmation may apply.
6. Booking changes
Requests to change the date, time, route, passengers or services are subject to availability and operator approval. Changes may result in a price difference or additional charges, and take effect only once confirmed in writing and the required amounts are paid.
7. Change of aircraft or operator
Operational, technical or regulatory circumstances may require the aircraft or operator to be substituted before the flight. In that case EasyTrip will seek a suitable alternative of a comparable standard where possible, and where additional cost arises the client will be informed before the alternative is confirmed whenever practicable.
Images, interiors and specifications shown may differ from the actual aircraft, particularly where images illustrate an aircraft category.
8. Delay, diversion or cancellation of a flight
Flights are subject to air safety factors, weather, flight permits, airport slots, decisions of official authorities and the discretion of the pilot in command. The operator or commander may delay, divert, land at an alternative airport or refuse departure whenever safety or regulations require it.
EasyTrip assists the client in finding suitable alternatives, but does not absolutely guarantee departure or arrival times and does not bear the cost of onward commitments unless agreed in writing.
9. Passenger details and travel documents
The client must provide accurate and complete details for all passengers within the required time, including:
- Name matching the passport or ID.
- Nationality and date of birth.
- Contact information.
- Copies of required travel documents.
- Any medical or special requirements relevant to the flight.
Each passenger is responsible for passport validity, visas, permits, health requirements and entry or transit requirements. Anyone without the required documents may be refused travel, and the case is handled under the cancellation policy applicable to the booking.
10. Baggage
Baggage capacity varies by aircraft type and passenger count. The number, dimensions and weight of bags must be disclosed in advance, particularly:
- Sports equipment.
- Oversized bags.
- Camera and filming equipment.
- Wheelchairs.
- Sensitive or high-value items.
EasyTrip does not guarantee acceptance of undeclared baggage. The operator may refuse baggage that exceeds capacity or breaches safety instructions.
11. Pets and prohibited items
Carriage of pets must be requested in advance and is subject to operator approval and the regulations of the departure and arrival countries. Weapons, explosives, hazardous materials, narcotics, unlawful substances and any items prohibited by the operator or the competent authorities are forbidden.
12. Passenger conduct
The operator or pilot in command may refuse boarding or continued travel to anyone who:
- Poses a risk to flight safety.
- Displays aggressive or abusive behaviour.
- Is under the influence of substances affecting their safety or that of others.
- Refuses to follow crew instructions.
- Causes damage to the aircraft or provider property.
The client bears the cost of damage, exceptional cleaning, delay or diversion resulting from their conduct or that of a passenger under their booking.
13. Concierge services
Hotels, transport, restaurants, events and other services are provided by independent parties and are subject to each provider's own cancellation and change terms. EasyTrip coordinates these services carefully but is not responsible for acts or omissions outside its direct control.
14. Circumstances beyond control
EasyTrip is not liable for delay, cancellation or non-performance caused by circumstances beyond reasonable control, including:
- Weather conditions.
- Airport or airspace closures.
- Government or security restrictions.
- War, unrest or disasters.
- Strikes.
- Epidemics and health restrictions.
- Sudden technical failures.
- Crew or fuel shortages.
- Air traffic control decisions.
Refundable amounts in such cases are limited to what can actually be recovered from operators and service providers.
15. Limitation of liability
EasyTrip's liability is limited to the intermediary and arrangement services it provides directly. Nothing excludes or limits liability that may not be excluded under applicable law. Otherwise, EasyTrip is not liable for indirect loss, loss of opportunity, profits or onward bookings arising from circumstances outside its control.
16. Complaints
Any comment or complaint should be sent to info@easytripsa.com, preferably within 14 days of the end of the service, quoting the booking reference with details and supporting documents.
17. Governing law
These terms are governed by the laws of the Kingdom of Saudi Arabia. The parties first seek an amicable settlement of any dispute; failing that, the competent courts in the Kingdom of Saudi Arabia have jurisdiction.
