From infant seating to meal timing, the details that help Gulf families plan a smoother private charter—and what to confirm with the licensed operator before booking.
Start with Your Family’s Routine
A comfortable family charter begins with a clear brief. Share each child’s age, usual sleep times, dietary needs and any assistance required. Include everyone travelling, such as a nanny or grandparents, so the proposed aircraft and ground arrangements suit the whole party.
Ask for a departure window that works with your children’s routine, but assess the entire journey—not just time in the air. A flight close to bedtime may be less helpful if a long drive, border formalities or a distant arrival airport interrupts sleep. Private charter offers flexibility, but airport operating hours, permissions and crew requirements still affect the schedule.
Confirm Safe Seating Before Choosing the Aircraft
Tell your charter arranger if you intend to bring an infant car seat or another child restraint. Ask the licensed operator to confirm its acceptance, compatibility with the aircraft seat and installation requirements before booking. A restraint approved for a car is not automatically suitable for every aircraft.
Clarify the seating arrangements for each child during taxi, take-off, landing and turbulence. Do not assume a cabin divan or a seat that reclines into a bed is approved for a child during every phase of flight. An attractive cabin photograph is not a substitute for confirmation of the actual aircraft layout and applicable safety rules.
Plan Food, Rest and Onboard Essentials
Request simple, familiar meals and explain allergies precisely. Ask what catering can be provided, whether food can be warmed and whether refrigeration is available. Where a serious allergy is involved, seek clear information about preparation and handling; do not assume the cabin or catering can be guaranteed allergen-free.
Keep nappies, spare clothing, comfort items and essential medicines within reach. Confirm any storage requirements for medicines in advance, and ask your child’s clinician about medical concerns rather than relying on onboard availability. For feeding, check the arrangements for formula, expressed milk and suitable water, including any airport screening requirements.
Choose a few quiet activities that work without connectivity. If rest is a priority, ask about the actual sleeping configuration and available bedding. Do not assume Wi-Fi, separate sleeping areas or a cabin attendant will be included on every aircraft.
Check Documents for Children and Accompanying Adults
Every traveller’s documents need attention, including those of infants and accompanying staff. Check passport validity, visas and relevant entry or transit requirements for each nationality in the party. A private flight does not remove immigration or customs obligations.
When a child travels with one parent, relatives or a nanny, verify whether consent letters or supporting documents are required by the relevant authorities or operator. Requirements differ by destination and family circumstances. Confirm them before committing to the trip, particularly if surnames differ or custody arrangements are relevant.
Connect the Flight with the Rest of the Holiday
Arrange suitable child seats for road transfers and confirm that the vehicle can accommodate the full party. Check hotel room readiness against your arrival time, especially after an overnight flight. A connecting room, cot or early check-in should be specifically confirmed rather than assumed from a general family-friendly description.
Before departure, request a concise itinerary covering the terminal or meeting point, recommended arrival time, onboard arrangements and transfer contact. EasyTrip arranges charter flights through licensed operators and can coordinate requests across the journey. Ask which arrangements are confirmed and which remain subject to operator, airport or hotel approval, so your family leaves with clear expectations.
