A More Comfortable Journey: Private Charter with Reduced Mobility

From aircraft steps to arrival transfers, a practical guide to planning private charter for a traveller who needs mobility assistance.

Start with the Traveller’s Everyday Needs

Private charter can offer more control over timing and ground arrangements, but it does not automatically provide step-free access or an accessible cabin. The most useful starting point is how the traveller moves comfortably—not simply their age or a medical label.

Explain whether they can climb steps, stand briefly, transfer from a wheelchair to an aircraft seat, or walk with support. Mention whether they will travel with a companion or require trained assistance. Share only the health information needed for safe planning, and ask how sensitive details will be passed to the licensed operator and relevant service providers.

Check the Boarding Route Before Choosing an Aircraft

An aircraft that looks spacious in photographs may still have a narrow doorway or steep boarding steps. Before confirming a charter, request details of the actual aircraft’s entrance, handrails, cabin height and route to the seat. A larger aircraft is not, by itself, a guarantee of easier access.

If stairs are unsuitable, ask whether appropriate boarding equipment and trained staff can be confirmed at both departure and arrival airports. Availability can differ between airports and terminals. Agree on how any transfer will be performed and who will assist; do not assume a wheelchair can be taken into the cabin or used as an approved seat during flight.

Confirm Comfort Inside the Cabin

Discuss the traveller’s needs for the full flight, including sitting tolerance, seat access and reaching the lavatory. Ask specifically about lavatory dimensions and accessibility rather than relying on descriptions such as “enclosed” or “full-size.” An enclosed lavatory may offer privacy without enough space for assisted use.

If the traveller uses a powered wheelchair or another mobility aid, provide its dimensions, weight, battery type and handling instructions early. The operator must confirm acceptance and safe carriage. Medical oxygen and powered medical devices also need advance review; if fitness to fly is uncertain, seek advice from the traveller’s treating clinician. A standard private charter is not a substitute for a medically equipped flight.

Plan the Ground Journey as Carefully as the Flight

Comfort depends on the entire route: home or hotel, airport reception, boarding, arrival and the final transfer. Confirm walking distances, any security or immigration procedures, waiting arrangements and where assistance begins and ends. Private terminal arrangements vary and do not remove mandatory checks.

At the destination, request a vehicle suited to the traveller’s transfer needs. If they must remain in their wheelchair during the road journey, specify a suitable accessible vehicle rather than a standard luxury car. For hotel stays, verify practical details such as step-free entry, lift access and bathroom layout directly; an “accessible room” label alone may not answer every need.

Put the Essential Arrangements in Writing

Before committing, ask for a written summary of the confirmed aircraft, boarding method, assistance at each airport, mobility-aid acceptance and ground transfers. Distinguish what is confirmed from what remains subject to approval, and identify a contact who can coordinate changes.

EasyTrip arranges charter flights through licensed operators. Tell your adviser which requirements are essential, not merely preferred, so suitable options can be assessed from the outset. If the aircraft or airport changes, those requirements should be checked again before you accept the revised arrangements.
