Two charter quotes can describe very different journeys. Learn what to check before you confirm, from the operating carrier and aircraft to airport arrangements and cancellation terms.
Start with the Same Brief
A meaningful comparison begins before a quote arrives. Give each provider the same departure and destination airports, preferred travel times, passenger count, luggage requirements and any essential cabin needs. For Gulf journeys, specify whether timings are local and whether your schedule has flexibility. A late-evening departure and an early-morning arrival can otherwise be easy to misread.
Separate essentials from preferences. A nonstop flight, a particular cabin layout or an arrival deadline may be non-negotiable; a preferred aircraft brand may not be. Ask providers to flag any departure from your brief rather than quietly offering a different journey.
Identify the Operator and the Aircraft
Distinguish the company arranging the charter from the licensed operator conducting the flight. EasyTrip arranges charter flights through licensed operators. Before confirming, ask who will operate your flight and request confirmation that the operator is authorised for the proposed service. An aircraft model or a polished cabin photograph is not a substitute for this information.
Review the aircraft offered against the actual mission. Confirm usable passenger seating, cabin configuration, lavatory arrangements and connectivity if these matter to your group. Ask whether the proposed routing is expected to be nonstop with your passenger and luggage load; aircraft range alone does not guarantee this under all operating conditions.
Clarify whether the quote is for a specific aircraft or an aircraft category. If substitution is permitted, understand what alternatives may be provided, how you will be notified and what options you have if the replacement does not meet an agreed requirement.
Check What the Total Includes
Ask for a clear written breakdown of the quoted total and anything that may be billed separately. Depending on the journey, relevant items can include aircraft positioning, landing and handling fees, parking, crew expenses, permits, taxes, catering and ground transfers. Do not assume that an item is included simply because it is customary on another trip.
For costs that cannot yet be fixed, ask how they will be calculated and approved. Check the payment currency, payment schedule and any applicable conversion or payment charges. Note the quote’s validity period and whether aircraft availability remains subject to confirmation; receiving a proposal does not necessarily reserve the aircraft.
Compare the Journey on the Ground
The most convenient airport is not always the one closest on a map. Confirm the proposed airport, terminal or private aviation facility, expected reporting time and arrangements for immigration and customs where applicable. Private charter does not remove passport, visa or border requirements.
Ask whether airport operating hours, slots or permits could affect your preferred schedule. Then check the transfer to your hotel, home or meeting venue. A well-coordinated arrival can be more valuable than a small difference in flight time, particularly when your itinerary includes a fixed appointment.
Read the Terms Before You Commit
Review cancellation and change conditions alongside the price. Ask what happens if you move the departure time, change the route or reduce the passenger count. Also clarify how the agreement handles an aircraft becoming unavailable, operational disruption or a delay that requires an overnight stay. Refunds, replacement aircraft and additional expenses should not be left to assumption.
Before paying, request a final written summary covering the itinerary, aircraft commitment, operating carrier, inclusions, exclusions and key contractual terms. Compare the offers against your essentials, not just their totals. The strongest proposal is the one that makes both the promised journey and your obligations clear.
